Privacy Statement

JP Metamods B.V. respects your privacy and processes personal data in accordance with the General Data Protection Regulation (GDPR). This statement explains which data we process, why, how long we keep it and what rights you have.

What data we process
We only process the data you provide yourself or that is technically needed to run the website securely:
- Contact and project requests: your name, email address, (optional) company name, subject and the content of your message, including the choices you make in the project builder.
- AI chatbot: the messages you type in the chat. These are processed to answer your question and are not stored, unless you escalate the conversation to a member of our team.
- Technical data: your IP address is processed briefly to prevent abuse, for example to limit the number of requests. This address is not stored in our database.
- Administrator accounts: for our own staff we process login and session data. This does not apply to visitors or customers. No account is needed for them.
- Statistics: we measure how the website is used in an anonymised, cookieless way (pages visited, referrer, country and device type) with our own, self-hosted analytics software. This data cannot be traced back to you and never leaves our server. Legal basis: our legitimate interest in a well-functioning website.
Purposes and legal bases
We process your data solely for the following purposes:
- To answer and handle your contact or project request. Legal basis: the performance or preparation of a contract and our legitimate interest in answering enquiries.
- To send a confirmation and status updates by email, if you have ticked the relevant box. Legal basis: your consent, which you can withdraw at any time.
- To secure the website against abuse, spam and overload. Legal basis: our legitimate interest in a secure service.
- To comply with legal obligations, such as the statutory tax retention requirement. Legal basis: a legal obligation.
AI chatbot and transfers outside the EU
Our website offers an AI assistant. The messages you type into it are forwarded for processing to Anthropic, PBC in the United States, which provides the underlying language model. This involves processing personal data outside the European Economic Area (EEA).
This transfer is appropriately safeguarded on the basis of the European Commission’s Standard Contractual Clauses. Please do not type sensitive or confidential information into the chat. If you would rather your message not be processed by the AI, use the contact form or ask to speak with a member of our team directly.
Sharing with third parties
We never sell your data. We rely on a limited number of processors that help us deliver the service. The required agreements are in place with each of them. They are:
- Anthropic, PBC (United States): provides the AI language model behind the chatbot.
- Telegram: through which our team receives an internal notification of a new request; that notification contains your name, company, email address and subject.
- TransIP B.V. (The Netherlands): provides our email and domain names.
- Cloudflare, Inc. (United States): provides security and acceleration (CDN) for the website.
- Contabo GmbH (Germany): provides the server on which the website and database run.
Retention periods
- Contact and project requests that do not lead to an assignment are kept for a maximum of 24 months after our last contact and are deleted afterwards.
- Data that becomes part of our administration (in the case of an assignment, quote or invoice) is kept for 7 years, in accordance with the statutory tax retention requirement.
- Consent for email updates applies until you withdraw it.
Security
We take appropriate technical and organisational measures to protect your data, including encrypted connections (HTTPS), strict access separation to the database, rate limiting of requests and separated privileges for administration and runtime.
Your rights
Under the GDPR you have the following rights regarding your personal data:
- The right of access to the data we process about you.
- The right to rectification (correction) of inaccurate data.
- The right to erasure (the right to be forgotten).
- The right to restriction of processing.
- The right to object to processing.
- The right to data portability.
- The right to withdraw consent you have given at any time.

Our website uses only functional cookies and local storage that are necessary for it to work. We do not place tracking or marketing cookies. Read more in our cookie statement.

Do you have a complaint about how we handle your data? Please contact us first so we can resolve it together. You also always have the right to lodge a complaint with the supervisory authority, the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).
